These Terms & Conditions apply to services provided by Nathanielle Jones trading as Naturally Fit (“Naturally Fit”, “we”, “us” or “our”).

By booking or purchasing a Naturally Fit service, you agree to these Terms & Conditions. Please read them before making a booking.
Nothing in these Terms affects your statutory rights as a consumer.
1. Our services
Naturally Fit provides services which may include:
one-to-one personal training;
strength, mobility and general fitness coaching;
exercise and return-to-activity support;
group exercise classes;
home, outdoor and studio-based sessions;
exercise programmes and related coaching;
general nutrition, healthy-eating and behaviour-change support.
The exact service, price, frequency and duration will be agreed at booking or purchase.
Naturally Fit will use reasonable care and skill when providing its services and will take account of relevant information provided by you, including your goals, experience, preferences and health information.
2. Your responsibilities
To help us provide a safe and effective service, you agree to:
provide accurate information to the best of your knowledge;
inform Naturally Fit of relevant health conditions, injuries, symptoms, medication changes or professional healthcare advice that may affect exercise;
follow reasonable coaching and safety instructions;
tell your trainer promptly if you experience unusual pain, dizziness, chest discomfort, faintness, shortness of breath beyond what would normally be expected from exercise, or another concerning symptom;
wear clothing and footwear suitable for the planned activity;
attend sessions in a condition that allows you to participate safely;
behave respectfully towards the trainer, other participants, venue staff and members of the public.
You are not expected to guarantee that you have no medical condition or disability. The important requirement is that you disclose relevant information so exercise can be planned and adapted appropriately.
3. Health screening
Before beginning an exercise programme, you may be required to complete Naturally Fit's health screening process, including the current official PAR-Q+ where appropriate.
You must answer screening questions accurately to the best of your knowledge.
Where your answers indicate that additional screening or professional healthcare advice may be appropriate, Naturally Fit may modify, postpone or decline particular exercise activities until appropriate information or advice has been obtained.
A positive health screening answer does not automatically mean that you cannot exercise.
You must tell Naturally Fit about relevant changes to your health during your time as a client rather than relying solely on information given when you first registered.

4. Exercise participation and inherent risks
Physical activity involves inherent risks. Depending on the activity, these may include muscle soreness, fatigue, falls, strains, sprains and other injury.
Naturally Fit will take reasonable care when planning and delivering your sessions and will adapt exercise where reasonably appropriate based on the information available.
You are responsible for following reasonable instructions, communicating concerns and not deliberately exercising outside agreed limits without informing your trainer.
You should stop an activity and tell your trainer if you experience symptoms or discomfort that concern you.
Naturally Fit does not exclude or restrict liability where doing so would be unlawful, including liability for death or personal injury caused by negligence.
5. Scope of exercise and health support
Naturally Fit provides exercise coaching and related wellbeing support within the professional scope of a personal trainer.
Exercise coaching is not a substitute for medical diagnosis, medical treatment, physiotherapy or other regulated healthcare.
Where appropriate, you may be advised to seek assessment or advice from a GP, physiotherapist, registered dietitian or another suitably qualified healthcare professional.
Naturally Fit will not diagnose medical conditions.
6. Nutrition support
Where nutrition support forms part of a client's service, Naturally Fit may provide general evidence-based information and coaching relating to healthy eating, meal structure, food choices, portion awareness, food diaries, energy intake, protein intake, hydration and sustainable behaviour change, where appropriate and within professional scope.
Nutrition support is intended for general health, fitness, weight-management and behaviour-change purposes. It is not medical nutrition therapy and is not intended to diagnose, treat or manage a medical condition.
Naturally Fit does not diagnose nutritional deficiencies, prescribe therapeutic diets or provide treatment for eating disorders, food allergies, gastrointestinal disease or other medical conditions requiring specialist nutritional management.
Where a client's circumstances fall outside Naturally Fit's professional scope, the client may be advised to seek advice from a GP, registered dietitian or another appropriately qualified healthcare professional.
7. Bookings
Sessions are subject to availability and are confirmed when Naturally Fit accepts the booking.
For one-to-one training, appointment dates and times will normally be arranged directly or through the relevant booking system.
Group classes may operate through a venue or third-party booking system. Where additional venue specific booking or attendance rules apply, these will be made available to you.
8. Prices and payment
The price of each service will be stated before purchase or booking.
Naturally Fit currently accepts payment by bank transfer and any other payment method made available through its booking system.
Single sessions are normally payable before the session takes place. Where sessions are purchased as a 4-session or 8-session block, payment is normally required in full before the block begins unless another arrangement has been agreed.
Mobile personal-training appointments outside Naturally Fit's standard included travel area may incur a travel supplement. Any applicable travel charge will be confirmed before the booking is accepted.
Any future price change will not retrospectively change the price of sessions or blocks already purchased.
9. Prepaid Session Blocks
Unless a different period is stated at the time of purchase, prepaid 4 session and 8 session personal training blocks should normally be used within 90 days of purchase.
We encourage you to book sessions with enough notice to allow them to be completed within this period.
The expiry period may reasonably be extended where:
Naturally Fit cancels or is unavailable for sessions;
a significant injury or illness temporarily prevents you from exercising;
exceptional personal circumstances make completing the package impractical; or
another extension is agreed between you and Naturally Fit.
Extensions are considered according to the circumstances and are not unreasonably withheld.
Session blocks are intended for use by the person who purchased them and are not normally transferable to another person unless agreed by Naturally Fit.
Expiry of a session block does not remove any statutory refund or other consumer right.
10. Cancelling or rescheduling a 1:1 session
Please give as much notice as possible if you need to cancel or reschedule.
Our normal policy is:
48 hours or more before the session:
No cancellation charge. The session may be rearranged subject to availability.
Between 24 and 48 hours before the session:
Up to 50% of the session fee may be charged.
Less than 24 hours before the session or failure to attend:
Up to the full session fee may be charged.
Cancellation charges are intended to reflect the time reserved for your appointment and the likelihood that the appointment cannot be offered to another client. They are not intended to operate as a penalty.
Where Naturally Fit is able to refill the appointment or otherwise substantially reduce its loss, this will be taken into account.
Genuine emergencies and exceptional circumstances will be considered reasonably on an individual basis.
11. Cancellation by Naturally Fit
Naturally Fit may occasionally need to cancel or reschedule a session because of illness, emergency, unsuitable conditions, venue problems or circumstances outside reasonable control.
Where Naturally Fit cancels a paid session, you will normally be offered:
a rearranged session; or
a credit towards a future session.
If Naturally Fit is unable to provide a reasonable alternative, you will be entitled to a refund for the affected unused session.
A session cancelled by Naturally Fit will not count against the validity period of a prepaid package.
12. Lateness
Please arrive ready to begin your session at the agreed time.
If you arrive late, the session will normally still finish at the original scheduled finishing time because another appointment may follow.
If you arrive so late that there is insufficient time to deliver the session safely or meaningfully, Naturally Fit may treat the appointment as a late cancellation.
If Naturally Fit is late, reasonable efforts will be made to provide the full booked training time either during that session or at a mutually agreed future session.
13. Statutory cancellation rights for contracts made online or at a distance
Different rules can apply depending on exactly what you purchase.
Where you enter into a service contract with Naturally Fit online, by telephone or otherwise at a distance, you may have a statutory 14-day cancellation period.
However, the statutory cooling-off right does not necessarily apply to services relating to leisure activities where the contract provides for a specific date or period of performance, such as certain sessions or classes booked for a particular date. UK regulations expressly provide for this exception.
Where a statutory 14-day cancellation right does apply:
you may cancel by giving Naturally Fit a clear statement that you wish to cancel;
you do not need to give a reason;
you can contact feelnaturallyfit@gmail.com;
if you expressly ask Naturally Fit to begin providing the service during the cancellation period and later cancel, you may be required to pay a proportionate amount for services already provided;
where the service has been fully performed during the cancellation period at your express request and the legal requirements for loss of the cancellation right have been met, the right to cancel may end.
Nothing in these Terms removes any statutory cancellation right available to you.
14. Refunds
Fees relating to sessions or services already properly provided are not normally refundable unless you have a legal right to a refund.
Unused prepaid sessions are not subject to a blanket “no refunds” rule.
Where a package or service ends early, any refund entitlement will be considered according to:
services already supplied;
applicable cancellation terms;
reasonable losses resulting from cancellation;
whether the reserved capacity could reasonably be rebooked;
the reason the service is ending; and
your statutory consumer rights.
Where Naturally Fit cannot provide a prepaid service and a reasonable alternative cannot be arranged, the unused portion will normally be refunded.
15. Mobile and home-based personal training
Naturally Fit provides mobile personal training in Norwich and selected surrounding areas.
Travel within 5 miles of Naturally Fit's Norwich base is included in the advertised session price.
For appointments further away, the following standard travel supplements normally apply:
More than 5 miles and up to 10 miles: £10 per appointment
More than 10 miles and up to 15 miles: £15 per appointment
More than 15 miles: price agreed individually before booking
Distance will normally be based on the usual driving route from Naturally Fit's Norwich base.
Any travel supplement will be confirmed before the appointment is accepted and will not be added retrospectively.
Where Naturally Fit provides a session at a client's home or another location chosen by the client, the client must provide a reasonably safe environment with sufficient suitable space for the planned activity.
The client should tell Naturally Fit about hazards that may affect the session and ensure that pets, obstacles or other foreseeable risks are appropriately managed.
Naturally Fit may modify, relocate or decline an activity where the environment is considered unsuitable or unsafe.
16. Outdoor training and weather
Outdoor sessions may need to be changed because of:
severe weather;
lightning;
ice;
extreme heat;
flooding;
poor air quality;
unsafe surfaces; or
other conditions that make the planned session unsafe.
Where practicable, Naturally Fit may offer an alternative location, adapt the planned session or rearrange the appointment.
Where Naturally Fit cancels because conditions are unsafe, this will not be treated as a client cancellation.
17. Small-Group Coaching , Group Programmes and third-party venues
Small-group coaching may be sold as individual sessions or as fixed blocks.
Where a place has been reserved within a fixed small-group block, missed sessions are not normally transferable to another week or refundable because the place has been reserved for that participant. Genuine exceptional circumstances will be considered reasonably.
Where Naturally Fit cancels a group session, participants will normally be offered a replacement session, credit or other reasonable alternative. Where a reasonable alternative cannot be provided, the affected session will be refunded.
Naturally Fit may specify a minimum number of participants required for a small-group programme to operate. Where the minimum number is not reached, Naturally Fit may postpone or cancel the programme and will offer affected clients an appropriate alternative or refund.
Some Naturally Fit classes may take place at facilities operated by another organisation.
You must comply with reasonable venue rules relating to access, behaviour, equipment and health and safety.
Where the venue operates its own booking system, its booking administration or venue rules may also apply.
Naturally Fit remains responsible for delivering its own exercise instruction with reasonable care and skill.
If different cancellation arrangements apply to a particular class or programme, these should be made clear before purchase or booking.
18. Results
Naturally Fit will provide appropriate coaching, programme design, guidance and support, but individual outcomes cannot be guaranteed.
Results depend on many factors outside Naturally Fit's control, including:
consistency;
attendance;
activity outside sessions;
recovery and sleep;
nutrition;
health;
adherence to an agreed programme; and
individual biological differences.
Any examples, testimonials or previous client results should not be interpreted as a guarantee that another client will achieve the same outcome.
19. Privacy and confidentiality
Naturally Fit processes personal information in accordance with applicable UK data-protection law and our:

Client information will be treated confidentially but may be shared where reasonably necessary and legally permitted, including with service providers, insurers, professional advisers, healthcare professionals where appropriately authorised, or emergency/public authorities where necessary.
Health records are subject to additional safeguards described in our Health Data Processing Notice.
20. Photography and video
Consent to photographs or video for marketing is not part of these Terms & Conditions.
Where Naturally Fit wishes to use identifiable photographs or recordings for promotional purposes, you will be asked separately.
Choosing not to give promotional photography/video consent will not affect your ability to purchase or receive personal-training services.
You may withdraw consent for future use in accordance with the separate consent and Privacy Notice.
21. Behaviour and safety
Naturally Fit may end or refuse a session where continuing would present a serious safety concern, including where a client:
behaves abusively, threateningly or inappropriately;
deliberately disregards important safety instructions;
appears significantly impaired by alcohol or drugs; or
withholds information that creates an immediate material safety risk.
Where reasonably possible, Naturally Fit will explain the concern and seek an appropriate solution.
Repeated or serious misconduct may result in the client relationship being ended.
Any treatment of unused prepaid sessions will be reasonable and subject to applicable consumer law.

Please provide enough information for the issue to be investigated.
Naturally Fit will aim to consider complaints fairly and respond within a reasonable period.
Making a complaint does not affect your statutory consumer rights.
23. Changes to these Terms
Naturally Fit may update these Terms from time to time where reasonably necessary, for example because services, systems, legal requirements or business arrangements change.
The current version will be available on the Naturally Fit website.
A change will not retrospectively remove rights or materially alter a service you have already purchased without an appropriate basis for doing so.
24. Governing law
These Terms are governed by the laws of England and Wales.
Nothing in this clause prevents a consumer from relying on any mandatory rights available to them under applicable consumer law.
